Visitor management for factories & residences

Know exactly who is on your premises, every minute.

Visitors register by QR before they arrive. Hosts and residents approve on their phone. Banned people are stopped at every check-in. Factories also get safety inductions and fire-drill roll-call.

SitePass is a visitor management system for factories and residential communities in Malaysia. It replaces the paper logbook at the guardhouse with QR self-registration, host or resident approval, one-scan check-in, blocklist checks and a live list of everyone on site.

The gate logbook problem

Can you answer these three questions right now?

Most guardhouses still run on a paper logbook. It records who came in. It can't tell you who is still inside.

  1. 01

Who is on your premises right now?

With a logbookFlip through the pages and hope everyone signed out.

With SitePass“Onsite now: 37”, listed by zone, from every gate check-in and check-out.

  2. 02

Has every contractor done the safety induction or signed the house rules?

With a logbookA signed sheet, somewhere in a file, maybe from last year.

With SitePassSigned and dated for each entry. If it has expired, the gate refuses the scan.

  3. 03

Would a banned person get past your guardhouse?

With a logbookOnly if the guard on duty happens to remember the face.

With SitePassChecked against your blocklist at registration, approval and every check-in.

From QR code to the factory floor in three steps.

Try it · Fire drill in 60 seconds

If the alarm rang now, could you account for every visitor?

This is the screen your fire marshal sees. Start the drill and tap Safe on each person. Watch the missing count drop to zero.

  • The list is everyone checked in at that moment, grouped by zone.
  • Several marshals can mark people from their own phones. Lists refresh every 15 seconds.
  • Phone numbers are tap-to-call, for anyone still missing.
  • Each drill is saved with who marked whom and when, ready to print.

INTERACTIVE SIMULATION · FICTIONAL NAMES · RUNS ONLY IN YOUR BROWSER

Everything that happens at your gate, in one system.

Every feature below works in SitePass today.

No queue at the gate. No pen on a string.

Visitors do the paperwork on their own phone before they arrive. The guard just scans.

  • Visitors register themselves from a QR code, or staff register walk-ins.
  • Hosts approve on their phone. The guard checks people in with one scan.
  • The QR badge only works during the visit window. Same-day re-entry is allowed.
  • Returning visitors are filled in from their IC or phone number in seconds.
  • Visit details go to the visitor's WhatsApp with one tap. No paid messaging service.

Safety & compliance

The record your auditor asks for, already filed.

Every entry carries the induction version, signature, time, PPE and zones. View it, print it, or export it to CSV.

  • Safety induction with video and PDF, kept in versions: draft, active, archived.
  • E-signature on every registration, with a validity period you set.
  • An expired induction blocks check-in until it's done again.
  • PPE and zone acknowledgement, plus an optional health declaration for visitors, logged for audits.

Security

  • Blocklist and watchlist by IC, phone, vehicle plate or name.
  • Checked at registration, approval and every check-in.
  • Overstay alerts on the dashboard.
  • Access set per staff role, and a log of who did what.

Emergency

  • One-tap evacuation roll-call from the dashboard.
  • Stays in sync across marshals' phones.
  • Drill history and printable reports.

Contractors

  • Companies and personnel with photos.
  • Work type, scope, tools, PPE, permit number and vehicle plate.
  • Induction and host approval for each entry.

Visibility

  • Live dashboard: onsite, check-ins, check-outs, overstayed.
  • Reports with drill-down and CSV export.
  • Notification bell for approvals, arrivals and alerts.

Easy to run

  • Works in any web browser, and residents can use the SitePass mobile app.
  • An entry-level Android tablet at the gate is enough.
  • You set the sites, departments, zones, hosts, visitor types and visit purposes.

Simulation · gate check

Try to sneak in

Pick a person, or type an IC number, then press Check in.

The gate result appears here.

Real SitePass matches IC/passport, phone, vehicle plate or name, at registration, host approval and every check-in. A name-only match is always a warning, never a block.

Each role gets its own screen.

You decide which modules each staff account can open.

Scan. Green or red. Done.

The guard doesn't need to remember faces, check files or phone the host.

  • Quick badge entry: scan or type the badge ID to check in or out.
  • Red banner and no check-in button for blocklisted people; amber warning for the watchlist.
  • Register walk-in visitors and contractors at the gate.
  • A live list of who is onsite, and quick check-out search.

What is SitePass?

SitePass is a web-based visitor and contractor management system, also called a gatepass system, for factories, industrial sites and residential communities in Malaysia. It covers QR self-registration, host approval, QR badges, gate check-in and check-out, safety induction with e-signature, a blocklist and watchlist, and emergency evacuation roll-call. It is made by Avantix Innovation Sdn. Bhd. in Penang.

Can condominiums and gated communities use SitePass?

Yes. Each resident has a personal QR link for their visitors and approves each visit from their phone, using the SitePass mobile app or a web browser. The guardhouse then checks the visitor in with one scan. Blocks and car parks can be set up as zones, and the blocklist and overstay alerts work the same way.

Do we need to buy special hardware?

No. SitePass runs in a web browser on phones, tablets and PCs. A tablet or PC at the gate is enough to scan badges. A badge printer is optional, because visitors can also show their QR badge on their phone.

Is there a mobile app?

Yes. Residents can use the SitePass mobile app, and staff, guards and fire marshals can also use SitePass in any phone, tablet or PC web browser.

Our guards are not tech-savvy. Will they manage?

The guard works from one screen: scan the badge and see green or red. A blocklisted person shows a red banner and the check-in button is hidden.

How much does SitePass cost?

The price depends on how many sites and gates you have and which plan you need: Gatepass, Safety or Enterprise, for a factory or a residential property. It is quoted per site and billed in ringgit. Message us on WhatsApp for a quote.

How is SitePass different from international visitor management systems?

SitePass is built around guardhouses at factories and residences rather than office receptions. Contractor induction, evacuation roll-call and the blocklist are part of the Safety plan instead of separate add-ons. It is priced and billed in ringgit and handles Malaysian IC numbers and +60 WhatsApp numbers.

We have several plants. Can SitePass handle that?

Yes. One SitePass account covers a factory or a property with several sites, departments and zones. If you run several plants or properties, tell us how they are set up and we will work out the right arrangement with you.

How is our visitors' personal data handled?

Visitor records are only visible to your logged-in staff, and each staff account has its own module permissions. Check-ins, check-outs and returning-visitor lookups are written to an action log, and blocklist reasons are shown only to security staff.

What happens in SitePass during a fire drill?

A marshal taps Start evacuation. SitePass lists everyone checked in at that moment, grouped by zone, with tap-to-call phone numbers. Marshals mark each person Safe or Missing from their own phones, and the list refreshes every 15 seconds. When the drill ends, the report stays in the drill history and can be printed.
