Every SitePass feature, in plain words.
SitePass is a visitor and contractor management system for factories and residential communities in Malaysia. Here is what it does, grouped by job.

Visitor registration & gate entry
Visitors do the paperwork before they arrive, and the guard checks them in with one scan.
- QR self-registration
- Visitors open the registration form from a QR code, either a host's personal link or an open link with a list of hosts. They fill in their details, choose the visit type, site, department and zones, and sign the safety induction. The request goes to the host as pending.
- Walk-in and pre-registration by staff
- Guards and hosts can register visitors with photo, signature, expected entry and exit time, PPE and zones. A visit registered by the visitor's own host is approved straight away.
- Host approval
- Hosts approve, or reject with a reason. Only requests that are still pending can be changed.
- QR badge with a time window
- Each visit gets a badge ID (for example V-20260929-0014) or a unique custom ID. The badge can be printed or downloaded, and it only checks in between the expected entry and exit time.
- One-scan check-in and check-out
- Check people in or out from the visitor list, the dashboard or by scanning the badge. Re-entry on the same day works after a check-out. A double scan is refused with a clear message instead of a false success.
- Returning-visitor quick fill
- Type a visitor's full IC/passport number or phone number. Previous visitors are shown masked, and choosing one fills in their name, company, ID, phone, email, visitor type and emergency contact.
- Cancel a visit
- Pre-registered or pending visits can be cancelled.
5 features
Safety induction & compliance
Proof that each person saw the right induction, signed it, and is still within its validity period.
- Versioned safety induction
- Induction versions are kept as draft, active or archived, with only one active version at a time. Each version has an effective date, summary, video link, PDF attachment and validity period in days.
- Acknowledgement and e-signature
- Every registration stores an acknowledgement of the induction with an e-signature and a valid-until date.
- Expired induction blocks entry
- Check-in is refused once the latest acknowledgement has expired. The visitor record shows the induction as Completed, Expired or Pending.
- PPE, zones and health declaration
- Visitors and contractors acknowledge the required PPE and the zones they will enter. Visitors can also complete an optional health declaration (fit to work).
- Acknowledgement logs
- Safety officers see every acknowledgement with its signature, and can export the records.
6 features
Blocklist, watchlist & access control
Stop people you have banned, warn guards about people to watch, and control who can do what.
- Blocklist and watchlist
- Each entry has a list type (blocklist refuses entry, watchlist warns), name, IC/passport, phone, vehicle plate, company, reason and an optional expiry date.
- Matching rules
- SitePass matches on IC/passport number (letters and digits only, any case), phone number (last 9 digits), vehicle plate or exact name. A match on name alone is always a warning, never a block.
- Checked at every step
- Lists are checked at staff registration and edits, contractor entry, visitor self-registration (logged silently; the visitor is not told), host approval, and every check-in. The guard sees a red banner with no check-in button for a blocklist match, or an amber warning for the watchlist.
- Match log
- Every match is logged with where it happened and the outcome. Only security staff see the reason; other staff are told to refer to the security supervisor.
- Overstay alerts
- Anyone still onsite after their expected exit time shows as overstayed on the dashboard and in the lists.
- Role-based permissions and action log
- Each staff account gets its own set of modules. Gate actions and lookups are written to an action log.
4 features
Emergency evacuation roll-call
Account for every visitor and contractor during a fire drill or a real emergency.
- Live onsite list by zone
- At any time, see everyone onsite grouped by zone, and print it.
- One-tap roll-call
- Start evacuation from the red button on the dashboard. SitePass takes a snapshot of everyone checked in and builds the roll-call list. Only one evacuation can be active at a time.
- Several marshals, several phones
- Marshals mark each person Safe or Missing with large, phone-friendly buttons. The list refreshes every 15 seconds so every phone stays in sync. Phone numbers are tap-to-call.
- Drill reports
- When the evacuation ends, the report (who was safe, marked by whom and when) stays in the drill history and can be printed.

Contractor management
Know which company sent whom, to do what, with which tools and permit.
- Companies and personnel
- Keep contractor companies and their people, with photos, as master data.
- Contractor entry
- Each entry records the company and person, host, site, zones, work type, scope, tools, PPE, permit number, vehicle plate, schedule, photo, signature and induction acknowledgement.
- Same approval and gate flow
- Contractors get their own badge (C-…) and go through the same host approval, induction and blocklist checks as visitors.

Dashboard, reports & notifications
See what's happening at the gate without walking to the guardhouse.
- Live dashboard
- Onsite now (visitors and contractors), today's check-ins and check-outs with the trend against yesterday, overstayed and pre-registered counts, plus quick badge entry and quick check-out.
- Reports and CSV export
- Filter by date range, department and status, drill down into the numbers, see check-ins by hour, and export to CSV.
- Visitor and contractor lists
- Today's view by default, or all records with 25, 50 or 100 per page, filtered by status, type, department or search text.
- Notification bell
- Shows an active evacuation, approvals waiting for you, your visitors who have arrived today and today's watchlist matches. It refreshes every 60 seconds.
- WhatsApp visit details
- One tap on the visitor record opens WhatsApp with the badge ID, valid time window, host and gate instructions filled in. Malaysian numbers starting with 0 are converted to +60. No paid WhatsApp service is used.

Setup & administration
Set SitePass up around your factory, not the other way round.
- Browser and mobile app
- Works in any web browser on phones, tablets and PCs, and residents can use the SitePass mobile app. An entry-level Android tablet at the gate is enough.
- Your own settings
- Manage visitor types, sites and plants, departments, hosts, visit purposes and zones. Items can be renamed, switched off or removed with a warning if they are in use.
- User management
- Add staff accounts, reset passwords, enable or disable accounts and choose which modules each person can use. Linking an account to a host makes that person the approver for the host's visitors.
